Service Policy


1. Estimates and Modifications

All estimates and quotes are based on our understanding of your project requirements and the agreed timeline. Any changes to the functionality, including minor upgrades, may incur additional costs. We recommend clients clarify and confirm all requirements with us during a consultation, either in person or through an online conference call.

2. Acceptance of Quote/Proposal

By accepting a quote or proposal, you agree to the terms outlined by Digital Org. Acceptance can be verbal, via email, through payment of an initial deposit, or by signing the project quote.

3. Project Guidelines

Clients are expected to provide clear instructions and specific details for the project. If such details are not provided, we will proceed based on our understanding of the requirements. Should any misunderstandings arise later, they may result in additional costs to accommodate changes. It is essential that you ensure all project details have been quoted accurately.

4. Complexity and Task Changes

Any complexity or specific requirements must be communicated in advance and included in the proposal for accurate costing. We work with integrity and rely on clients to provide all necessary information at the beginning of the project. Any misalignment due to unclear requirements will not be borne by Digital Org.

5. Working Hours and Project Adjustments

For each project, we allocate specific working hours for tasks such as Project Management, Web Development, Graphic Design, or Online Marketing. Minor adjustments may be incorporated within the allocated hours, subject to project progress and management review.

6. Delays and Additional Costs

Digital Org will make every effort to complete tasks and requested changes within the agreed timeframe. However, significant delays due to functionality revisions are acceptable. Any delays on the client’s side may extend the project timeline and result in additional charges.

7. Bug Fixes and Additional Work

Any programming errors (bugs) identified during or soon after development will be corrected at no extra charge. However, any new work or changes requested after the project has been delivered will incur additional fees.

8. Post-Go-Live Changes

Any modifications requested after the website or application goes live will be subject to additional charges. All extra work beyond the initial estimates will be charged separately.

9. Content and Project Details

Website or application content and details must be provided within the first week of the contract to avoid unnecessary delays. Delays in providing these materials may push the project timeline and result in additional fees.

10. Browser and Device Compatibility

We test website/application compatibility on modern browsers including the latest versions of Chrome, Firefox, Safari, and Microsoft Edge on PCs and laptops. If additional browser or device testing is required (e.g., specific mobile devices), please inform us in advance.

11. Third-Party Hosting and Services

If your website or application is hosted on a third-party server, any extra time required to resolve server-related issues will not be covered by our initial quote and may incur additional costs. Digital Org does not provide refunds for hosting, domain registration, or SSL certificate services.

12. Project Pauses and Administrative Fees

If a project is delayed for more than two months due to client inaction, an administrative fee of $59/week will be applied. This may also result in adjustments to the original estimates. If you need to put the project on hold, please notify us in writing. Projects on hold may require administrative adjustments to avoid additional fees.

13. Code Ownership and Licensing

All custom code written by Digital Org (excluding open-source components) is our intellectual property. Ownership of the code can be transferred to the client for an additional fee, but it is for personal or internal use only and cannot be resold or replicated without our consent.

14. Third-Party Integrations and Components

Digital Org may integrate third-party components such as payment gateways or SSL certificates into your project. While we do our best to ensure compatibility, any unforeseen limitations of third-party services are beyond our control. Costs for third-party services (e.g., SSL, plugins, Google Ads) are not included in our quotes unless specified otherwise.

15. Open Source Software

Digital Org assumes no responsibility for third-party open-source products such as WordPress, Joomla, or other platforms. It is the client’s responsibility to maintain and update these components. We recommend regular backups to avoid disruptions.

16. Third-Party API Delays

There may be unforeseen delays in integrating third-party APIs into your website or application. We will make every effort to adhere to the agreed timeline but cannot be held responsible for delays beyond our control. If such delays occur, clients agree not to penalize Digital Org as long as reasonable efforts have been made to stay on schedule.

17. Domain Registration and Renewal

Domain registration and renewal are not included in any project unless explicitly stated. If required, we will provide a separate quote for domain-related services, which must be approved by the client.

18. Development Servers

Digital Org builds and tests websites and applications on our internal servers. We do not provide access to our test servers to clients or third parties. Once all payments are settled, the website or application can be transferred to the client’s designated server.

19. License for Published Website

Upon full payment of all invoices, Digital Org grants the client the right to use, reproduce, and modify the graphics, text, and images used on the published website. This does not include programming code, database structures, or other intellectual property.

20. Communication

All communication is generally conducted via email or video conferencing (e.g., Skype, Zoom). It is the client’s responsibility to ensure we have their correct contact details.\\
